Position: Scheduling Coordinator for their San Francisco Office.
In this role you will manage the scheduling and assignment planning for Assurance professionals in San Francisco, San Jose, Santa Rosa, Palo Alto and Walnut Creek. You will also serve as a key contact for the Assurance Partners, Sr. Managers and Managers to successfully address all issues relating to staff assignments.
Responsibilities:
- Balance the needs of staff and clients for the purpose of maximizing utilization and the experience of the staff
- Assign audit staff to clients and work with training manager to assign staff in training classes
- Develop alternatives and recommendations for resolving scheduling imbalances considering impact oin overall human resource management efforts
- Assign to ensure skill development, provide developmental opportunities including cross-department engagements
- Monitor and present to the Assurance department head the headcount throughout the year
- Monitor Quality Control (QC) deadlines and report to QC Committee monthly
- Negotiate client assignment conflicts to the satisfaction of all parties
- Orient new employee on scheduling policies and procedure
- Interact with HR staff firm-wide to coordinate new hire schedules, training schedules, and other HR related activity including performance evaluations
- Coordinate frequent scheduling meetins with Assurance staff to project staffing needs
- Review staff utilization report and discuss concerns with Assurance department head and other Partners
- Learn to effectively use the firm’s scheduling and Time & Billing software
- Travel to all offices in the San Francisco Bay Area
Qualifications:
- B.A. degree and a minimum of 3-5 years client service, heavy administrative support and/or HR experience. Familiarity with public accounting audit engagements a plus
- Excellent customer service, interpersonal, facilitation, conflict management, and change management skills
- Ability to flex to different challenges, and listen/respond to others
- Ability to interact with all levels of employees
- Strong computer skills, Outlook, Excel, Word; ability and desire to master scheduling software, audit engagement software and Time & Billing software
